You can create scheduled reports for exporting in all supported formats (PDF, PPT and XLS). You can either schedule standard reports or any custom reports you have created.
Firstly, click on the link to the Reports section in the Settings menu:
You'll then see this screen:
Click on the dropdown "Schedule a new report for a site" and you'll be presented with this window:
As you can see you can do the following:
- Select all applicable sites and campaigns: Schedule the report to be run for all and sites and campaigns or pick individual ones
- Format: Select a report type (remember, Excel gives you the most data, tables in PDFs are limited to 500 rows and tables in PPT reports are limited to ~20-25 rows)
- Display Options: Decide whether to export task statuses, assignment details and date updated details (PDF only)
- Report date range: Select a date range for summarisation (this affects the Task Status messages above modules such as Organic Visits as we'll summarize the analysis in these statuses to reflect the period you select and zero off any of the current month's data from any generated tables)
- Schedule frequency: you can have reports generated each day, week, month or quarter
- Schedule date: specifiy a date and a time (UTC) for when the report generation should start running (most take no more than a few minutes to produce).
- Recipients: enter one or more email addresses for recipients.
Each report is sent from the system with a simple message and with the report as an attachment.
- If you're working for an SEM agency, you might want to consider setting up a Full Site report (or similar) and have a copy sent to you in Excel format to an archive email address (e.g. firstname.lastname@example.org). This then gives you a readily available archive of how metrics have changed during the course of a campaign.
- Remember, the reports are specific to your user/site/campaign and your choices over how the data is displayed in both chart and table form. It will remember your user preferences for each module for every single site and campaign - what columns you had selected, what rows you had filtered for that module in that campaign and what chart type and date range you had selected.
- If you're scheduling monthly client reports, you should consider scheduling these for the 2nd or 3rd of each month, rather than the 1st. The reason for this is that whilst we import Google Analytics data everyday, the import for your sites might not have run on the 1st by the time the scheduled report gets generated. It's always best therefore to give it a couple of days, as we'll also go back to GA and double check finalized numbers for the previous few days.
- If you want to test how a report is generated, you can force the date to today's date and enter a time which is any time before the current time. The report will start to be generated immediately.
